Supervisor: Director of Communications

Summary: Responsible for assisting the Director of Communications in overseeing, managing, and directing internal, external, digital, and traditional communication efforts on behalf of the Department of State.

Duties/Responsibilities:
  • Design strategic social media calendars for review by the Director of Communications including conceptualizing visual content, drafting captions, and planning deployment of post timing to maximize engagement and reach.
  • Upon approval from the Director of Communications, the Deputy will collaborate with the Creative Media Producer to ensure expedient delivery of visual content including but not limited to edited photos, graphics, reels, and videos.
  • Monitor all media mentions, comments, questions, and direct messages across X, Facebook, and Instagram accounts for all accounts under the Secretary of State’s Office and report engagement immediately to the Director of Communications for further direction.
  • Expediently craft captions, edit content, and utilize correct tags for unplanned social media content with correct dimensions within each platform.
  • Compile daily press clips for department leadership that feature mentions of the work being done by the office, legislative news, and current events that could impact any divisions within the department.
  • Assist with routine department website updates via Drupal including posting alert bars, uploading press releases, ensuring accurate information across division pages, and curating content for timeliness at the direction of leadership.
  • Create newsletter outreach for leadership or divisions as directed via Emma.
  • Responsible for monitoring results of departmental newsletters and ensuring compliance with contractual terms related to number of annual sends.
  • Label and maintain clear records of photographs, videos, and documents according to department standards.
  • Support the Director of Communications, HR, and other Divisions for both external and internal events.
  • Collaborate with all division directors and their teams to serve their immediate needs as approved by the Director.
  • Update and maintain the division’s press contact list regularly so all press releases deployed by the Communications Director are successfully delivered.
  • In the absence of the Director of Communications, handling all levels of media relations for the department.
  • Perform other duties as assigned.
                       
Minimum Qualifications:
Education and Experience:
  • Graduation from an accredited four-year college or university.
  • At least three (3) years of increasingly responsible experience preferably in a relevant communications, media, or public sector environment.
Knowledge and Abilities:
  • Ability to think and produce creative work.
  • Strong writing and editing skills, and a strong command of the English language.
  • Ability to follow department (AP) style writing.
  • Ability to communicate clearly and effectively, internally and externally with the general public, government officials, and media personnel.
  • Possess a high attention to detail.
  • Possess a strong understanding of social media platforms and the ability to utilize applicable technology.
  • Possess general knowledge and understanding of state government and the legislative process.
  • Ability to manage challenges with practical and effective lasting solutions.
  • Demonstrated proficiency in Microsoft Office Suite.
  • Ability to manage various tasks throughout the day.
  • Preference will be given to candidates with state or federal legislative office experience.
